Walkaround checks and handovers that stand up later
The daily check is done on the driver's phone before the first job. A handover is photographed, compared with the last one, marked on a damage map and signed. When a van comes back damaged, you know when it happened.

The daily walkaround
Item by item on the phone, with photos where it matters. A defect becomes a fault on the van's record. A van that is not safe to drive is off the road until a manager clears it.
Mileage that cannot go backwards
The odometer reading is checked against the van's record at every touchpoint: walkaround, handover, return and fuel. A reading that goes down or jumps is stopped.
Dashboard photo, read for you
One photo of the dash records the mileage, the fuel gauge and any warning lights that are lit. A red light is raised to the manager straight away.
Issue and return, with a chain of evidence
Photos, a damage map and a signature
The driver photographs each side of the van and marks any damage on a diagram. Existing damage is compared with the previous handover's photos and new marks are called out. The agreement is signed on the phone and a manager approves the release.
The agreement looks after itself
A standing driver and van agreement with its own end date. Drivers and managers are warned before it expires, and the renewal is handled in the app. Every signed copy is kept with its audit log.
MOT, tax, servicing and breakdown cover in one place
MOT and tax from the DVLA
Dates are refreshed from the DVLA every month. An untaxed van or an MOT within thirty days is raised to the manager.
Servicing by date or mileage
Set the interval in miles, months or both. The van turns amber when a service is due and red when it is overdue.
Breakdown cover when it is needed
The cover and its phone number are held on the van. A driver sees them at the moment they matter: an undriveable fault, a failed check or an accident.
Questions
Can I set my own checklist?
The walkaround covers the items a DVSA daily check expects. Defects raised from it go onto the van's fault list with photos and are followed through to repair.
Does the check work without signal?
Yes. The driver completes it in the app and it is sent when signal returns. Nothing is lost in a yard with no reception.
What happens on a failed check?
A van marked not safe to drive is off the road. The manager is told, the fault is on the record, and the breakdown cover is shown to the driver if the van cannot move.
Do I need the handover for my own drivers?
Only for a van that changes hands. A driver who keeps the same van signs once and does the daily check from then on.
